How to calculate your daily travel budget after bookings
A trip budget is easier to use when it becomes a daily amount. Set aside costs you already know about first, then divide the flexible remainder across the days you need to cover.
I develop TravelBudget, which is mentioned in this guide.
In this guide
Separate prepaid costs from spending money
Start with the total amount you have set aside for the trip. Subtract transport and accommodation already paid, planned tickets or tours, and any reserve you do not want to spend. What remains is the flexible budget for food, local transport, activities and other day-to-day purchases. Do not count a prepaid hotel twice.
Turn the remainder into a daily guide
Divide the flexible amount by the number of days it needs to cover. For example, if €900 remains after bookings and a €100 reserve, and the trip has ten spending days, the starting guide is €80 per day: (€900 − €100) ÷ 10. This is a planning average, not a requirement to spend the same amount every day. A museum day may cost more than a walking day, so keep planned one-off costs visible.
Recalculate when plans or spending change
Log purchases in one reference currency and include upcoming costs that have not been charged yet. After a large expense, look at both the remaining money and the days left rather than treating the original daily figure as fixed. Exchange rates and card fees can also change the home-currency total, so leave a buffer if the exact amount is uncertain.

Keep today’s allowance current
TravelBudget combines what you have spent, costs you have reserved and trip days remaining to show a daily “Safe to Spend” amount. It supports multiple currencies and works offline; it does not know about expenses you have not entered. Review planned costs and log purchases for the number to stay useful.
A simple daily check
- What money is still available after prepaid costs and your reserve?
- How many trip days does that amount need to cover?
- Are any larger costs coming up that should be reserved now?
- Have you entered today’s purchases, including cash?
Use the daily figure to spot a trend early, not to judge every individual day. If you are spending more on one day, decide whether to use money planned for another activity or adjust the overall trip budget.
Frequently asked questions
Should I include flights and hotels in the daily amount?
If they are already paid, subtract them from the flexible spending budget first. If they are booked but not yet charged, reserve them so the same money is not treated as available twice.
Is a daily budget the same as a spending limit?
It is a planning average. You can spend more on one day and less on another, as long as the total remaining budget still covers the trip.
Why does an app’s daily amount change?
The estimate can change as you log spending, add planned costs or move through the trip. Check the inputs and remaining days when it changes.
